Negative reviews are read very carefully by prospective guests — often more carefully than 5-star reviews. How you respond says as much about your restaurant as the original complaint. Stay professional, acknowledge specifically, and move the conversation offline.

A star rating with no text is still worth a response. It shows you pay attention and humanizes the exchange for anyone reading the review thread.

A few tips before you start
- Always use the reviewer's name. It takes three seconds and makes the reply feel like a person wrote it, not a form.
- Reference something specific from their review. Generic responses read as copy-paste to anyone who looks at more than one review. Specificity proves you read it.
- Move complaints offline. Don't argue or over-explain in a public reply. Acknowledge, apologize, and invite a private conversation. Let the public thread end on a professional, warm note.
- Reply within 24 hours. Speed matters for negative reviews especially. A response that arrives days later signals indifference. Same-day or next-day is the standard to aim for.
- Keep your sign-off consistent. "— The [Name] Team" or just "— [Name]" — pick one and use it every time. Consistency builds brand recognition across your review presence.
