System Rules

Built-in hospitality best practices baked into every reply — warmth, timeliness, appropriate escalation for urgent requests. These are always on and can't be disabled.

Restaurant Rules

Your editable layer. Add rules in plain English in Settings — "always mention our prix-fixe menu for groups over 8" or "never promise same-day availability without checking." These apply to every reply.

Learned Rules

Automatically extracted from your team's edits and overrides. Reviewed by you before they activate. These are what make GuestDesk sound like your restaurant specifically — not any other.

How long does it take for the AI to learn my restaurant's voice? +
GuestDesk starts drafting replies from day one using built-in hospitality rules and any custom rules you add in Settings. The learning loop kicks in as your team approves and rejects drafts — after 20–30 real interactions, most restaurants notice the AI writing closer to how they'd write themselves. It keeps improving continuously from there.
Can I override the AI at any time? +
Always. Every draft is shown to your team before it sends. You can approve, edit, or reject it and write your own reply instead. When you reject a draft and write something different, that override automatically becomes training data for the AI — so it makes that same mistake less often in future replies.
Does the AI reply in other languages? +
Yes. GuestDesk automatically detects the language a guest is writing in and drafts the reply in that same language. Your staff sees everything translated into their preferred language, and the guest gets a reply in theirs. See the Multilingual feature page for full details.
